Kansas Statewide Training Approval Process

This page provides an overview of the Kansas Statewide Trainer Approval, Training Organization Registration, and Training Approval processes. Here, you’ll find information on how to submit trainer applications, the review and feedback process, and the requirements for provisional approval. Additionally, it outlines the steps for registering a Training Organization, whether as a single or multi-trainer entity, and details the training application submission and review process. Essential guidelines and timelines are included to help you navigate each step efficiently.

To submit a training for approval, you will need to complete this multi-step process. 

Training and Trainer Approval by Cape

Step 1: Apply to be a trainer

How to complete the trainer application:

Timeframe: 2 weeks

Trainer applications are now being accepted for approval on a provisional basis only. This will allow you to continue submitting trainings for approval and to deliver approved trainings. Once the Cape portal has been launched, provisional trainers will be notified on specific requirements to achieve full approval. 

Prerequisite Qualifications:

  • At least 18 years of age, and 
  • Earned High School Diploma/Equivalent, and 
  • At least 5000 hours of work experience 

1. Complete the Trainer Application  

Fill out and submit the Trainer Application. You must meet or exceed the prerequisite qualifications listed above. You will be asked to submit documentation to support your application (i.e., transcripts, relevant certificates) and contact information for at least two references.

2. Review

  • Your application will be reviewed for completeness after submission.
  • If incomplete, you’ll receive a notification with resubmission steps.
  • Expect a decision (approval or denial) within 2 weeks.

Approved:

Once you are approved as a Statewide Trainer, the next step will be automatically initiated by Trainer Approval Staff.

Step 2: Verify Your Training Organization

How to verify your training organization.

Timeframe: 1 week

If your training application is approved, step two will be automatically initiated to connect your account to a training organization. 

  • Independent Trainers: If you selected this option in your application, this indicates your intention to train on a freelance/volunteer basis. Therefore, you will receive an email with instructions on creating an organizational profile for yourself. 
  • Sponsored Trainers: If you selected this option in your application, this indicates your intention to train as part of your employment or affiliation with an existing organization. The organizational contact you listed in the application will receive an email with instructions on creating an organizational profile and/or approve your request to affiliate with the organization. 

Helpful Hints: 

  • For individuals who will be providing training in more than one capacity, this step will be completed for each role. 
  • Verification of training organization is a one-time requirement; once the organizational profile is created and affiliation has been approved, you will be able to submit trainings for approval (step three) without repeating these steps. 
  • If your affiliation changes (e.g., employment with a new agency, desire to begin training independently), you will need to return to step one and follow the process. 
  • When organizations are hosting special guest trainers (i.e., conference speakers), it is allowable for the host of the training event to initiate this process to have the guest trainer’s course approved for KDHE hours.

Step 3: Receive Training Approval

How to submit a training for KDHE approval:

Timeframe: 4 weeks

After becoming an approved trainer (Step 1) and affiliating with your training organization (Step 2), you will be eligible to submit your developed training (Step 3) for Kansas Statewide Training Approval. 

  1. Submit training for Kansas Statewide Training Approval 
    • Once eligible, you’ll receive access to the Application for Approval form, guidance on completing it, and a copy of the scoring rubric.
    • Have the following documents and information ready to submit for KDHE training approval using the new Application for Approval form.
      • KS Core Competency Alignment Table 
        • Alignment of KS Core Competency(ies) to the training learning objectives and activities and/or instructional methods and the time for each activity or instructional method. This table is part of the application form. 
        • Activities and instruction methods include a brief summary of the content, activity, or discussion questions.

      • Supporting Materials 
        • Submit all supporting materials that will be used during the training such as handouts, note taking guides, etc.
        • PowerPoints or other trainer facilitation materials are not submitted with the application.
  1. Review of Training 
    • Completion of two (2) reviews by qualified reviewers using the Training Approval Scoring Rubric. 
      • Approval requires a total score of an average of 59 points plus a Content Category score of at least 29 points in each of the two reviews. 
    • If application is denied: 
      • Receive notification of denial along with summarized feedback from the reviews 
      • Revise training based on feedback and resubmitted 
      • Revision reviews will be completed by the same 2 reviewers.
    • If application is approved: 
      • Receive notification of approval documentation  
      • The training can be advertised as KDHE approved training
